We are seeking a Property Administrator to join our dynamic team. This role involves providing both administrative and telephone support within a team of 2-15 agents. The successful candidate will work flexibly and conscientiously in a rapidly developing office environment, handling a variety of tasks that require a high level of precision and customer service skills.
Day-to-day of the role:
Maintain and update the in-house database in accordance with correspondence and communications exchanged with tenants or their solicitors.
Provide high-standard customer service to leaseholders and their representatives, both over the phone and in writing.
Review notices from HM Land Registry, update in-house databases, and correspond accordingly, working within tight deadlines.
Analyse leases, deeds, and other property title documents, identifying key provisions and updating the in-house database following a comprehensive review.
Work on projects in line with internal Building Safety processes to issue landlord’s certificates in accordance with the Building Safety Act 2022.
Interpret lease information accurately and input it onto the database, adhering to strict timelines.
Recommend actions following the review of legal documentation including leases and titles.
Reconcile and identify any data discrepancies and make recommendations for process improvements.
Assist in managing key projects such as Building Safety and in-house database reconciliations, ensuring they are delivered within planned timeframes.

Strong organisational skills, able to manage multiple tasks and handle a high volume of calls.
Excellent customer service skills, with the ability to communicate effectively and maintain a professional attitude at all times.
Proficient in data input with the ability to learn and effectively use new systems.
Experience in working within a team, willing to learn new responsibilities as required.
Skilled in letter writing, both using templates and drafting letters.
Strong problem-solving skills, with the ability to investigate queries and suggest solutions.
Ability to use initiative and make decisions after an initial training period.
