HR Administrator

About the Role
We are seeking a highly organised and detail-oriented HR Administrator to join a busy and supportive Human Resources team. This is an excellent opportunity for someone with strong administrative experience who is looking to develop their career within HR.
In this role, you will provide comprehensive day-to-day administrative support across the full employee lifecycle, ensuring that HR records, systems, and processes are maintained accurately, securely, and efficiently.
Key Responsibilities
HR Administration
Provide administrative support to the HR team, including HR Generalists and senior HR leadership
Maintain accurate digital and paper-based employee records
Prepare and issue key documentation such as contracts, offer letters, and employee correspondence
Handle HR queries professionally, escalating where appropriate
Ensure all documentation is correctly filed, scanned, and securely stored
HR Systems & Reporting
Update and maintain HR systems, ensuring data is accurate and up to date
Process new starters, leavers, and employee changes efficiently
Produce ad hoc reports on key HR metrics such as absence, turnover, and recruitment
Monitor and track HR processes including probation, holidays, and training
Recruitment & Onboarding
Coordinate interviews and liaise with candidates and hiring managers
Prepare interview documentation and manage recruitment administration
Support onboarding processes, including right-to-work checks and reference requests
Prepare contracts, offer letters, and new starter packs
Compliance & Training
Maintain records for training, licences, and compliance documentation
Track expiring certifications and escalate renewals where required
Support internal audits to ensure HR records remain accurate and compliant
Employee Lifecycle Support
Assist with absence, sickness, and holiday administration
Support probation tracking and employee lifecycle processes
Manage leaver administration and ensure systems are updated accordingly
About You
Essential:
Previous administration experience, ideally within HR, recruitment, or a fast-paced office
Strong organisational skills with the ability to manage multiple tasks
Excellent attention to detail and accuracy
Confident IT skills, including Microsoft Office and database systems
Ability to manage confidential information with discretion
Strong communication skills and a professional, approachable manner
Desirable:
Experience within a transport, logistics, or operational environment
Experience using HR systems
Knowledge of recruitment and onboarding processes
Understanding of HR administration processes
CIPD Level 3 (or working towards)
