Operations Administration Support

We are seeking an Operations Administration Support to join our team. This role involves providing essential support to the Operations Team to ensure service consistency, quality improvement, and efficiency. You will also deputise for Project Managers in their absence, making this a pivotal role in our operations.
Day-to-day of the role:

Installations/Logistics:
- Coordinate with the sales department to receive new jobs.
- Organise projects by liaising with customers, the installation team, and logistics.
- Provide final system design drawings and test sheets to the Installation team.
- Troubleshoot on-site problems with installers.
- Order materials and assist with scheduling installations.
- Arrange deliveries and allocate materials for the warehouse.
- Build and maintain positive relationships with installers, contractors, and site managers.

Administration:
- Conduct weekly stock takes for engineers.
- Create and manage Operation & Maintenance documentation.
- Maintain the CRM system and manage the installation inbox.
- Book accommodations and handle logistics for installers and engineers.
- Ensure all necessary documentation and tools are available for installation teams.

Aftersales:
- Work closely with the accounts team to manage project valuations.
- Raise repair quotations and organise commissioning.
- Arrange for spare parts provision and handle manufacturer claims.

Health & Safety:
- Monitor on-site assessment forms and uphold our commitment to health and safety.
- Complete risk assessments and site health and safety documentation.

General:
- Engage in internal/external meetings and provide general business support.
- Cover for Project Managers when required and participate in training and development activities.
Required Skills & Qualifications:
- Proven experience in operations or administrative support within a similar industry.
- Strong organisational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in CRM systems and Microsoft Office.
- Commitment to maintaining high safety standards.
