Join our team as a Scheduler, where you will play a crucial role in ensuring the smooth coordination of reactive, responsive, and planned maintenance works across the business. This position is vital in supporting engineers, clients, and management by allocating work, managing communication, overseeing job progress, and completing essential administrative tasks. As a Scheduler, you will help maintain service quality, compliance, and operational efficiency within a fast-paced maintenance environment.
Day-to-day of the role:
Job Scheduling & Work Allocation:
Allocate daily and weekly work to engineers, ensuring all operatives have job tickets and clear instructions.
Prioritise reactive and responsive repairs, identifying emergencies and urgent works.
Schedule planned works, void property works, and small project/build tasks.
Adjust schedules dynamically based on emergencies, delays, engineer availability, or client requirements.
Monitor job progress throughout the day and ensure updates are captured and communicated.
Communication & Client Liaison:
Manage incoming communication via email, telephone, client portals, and other channels.
Respond promptly and professionally, directing matters to colleagues or managers when outside scope.
Maintain clear communication with clients, tenants, engineers, and internal teams.
Participate in face-to-face discussions, Teams meetings, telephone calls, and written correspondence.
Job Monitoring, Quality & Compliance:
Review daily notes, photographs, and updates submitted by engineers.
Ensure job records are complete, accurate, and compliant with company standards.
Flag concerns regarding workmanship, safety, or job completion to the line manager.
Track job statuses from instruction to completion, ensuring deadlines and SLAs are met.
Materials & Deliveries Coordination:
Order materials required for jobs when instructed or when identified as necessary.
Liaise with suppliers to confirm availability, pricing, and delivery times.
Oversee deliveries arriving at the office, ensuring items are checked, signed for, and allocated correctly.
Communicate material requirements or delivery issues to engineers and managers.
Maintain accurate records of materials ordered, received, and issued.
Administration & Documentation:
Type up quotes, estimates, and invoices on the company system as required.
Update job management systems, client portals, and internal trackers.
Prepare documentation, reports, and updates to support operational delivery.
Maintain accurate digital and paper records in line with company procedures.
Carry out general administrative duties essential to the smooth running of the scheduling function.
Support colleagues and managers with additional tasks as required; responsibilities may evolve beyond this list.
