Day-to-day of the role:

  • DBS Processing & Administration:
    • Process various types of DBS applications (basic, standard, and enhanced) while ensuring accuracy and compliance.
    • Manage applicant accounts, update system records, and handle associated administrative tasks.
    • Maintain high data quality standards through regular checks, updates, and spreadsheet management.
    • Support the management of post and paper-based applications, ensuring daily office presence for handling physical submissions.
  • Customer Support:
    • Provide clear and responsive support to applicants, hiring managers, and external organisations regarding DBS processes and application status.
    • Resolve basic queries and escalate complex cases as needed.
  • System & Data Management:
    • Utilise Excel to edit, filter, tidy, and validate data sets.
    • Operate internal systems such as SAP (training will be provided).
    • Maintain digital accuracy across records, reports, and application tracking tools.
  • Team Support & Coordination:
    • Work collaboratively within a small team, including part-time staff and apprentices.
    • Provide additional capacity to mitigate workload pressures and cover long-term absences within the team.
    • Contribute to weekly planning meetings and ensure effective daily coverage.

Required Skills & Qualifications:

  • Previous experience in administrative roles requiring accuracy, confidentiality, and organisation.
  • Experience in compliance, recruitment checks, or similar process-driven work.
  • Confidence using digital tools and learning new systems efficiently.
  • Desirable Experience:
    • Prior experience processing DBS applications.
    • Background in recruitment compliance or safeguarding-related administration.
