We’re looking for an organised, proactive and people-focused individual to join a small, friendly team supporting a busy community-facing organisation. This is a varied role where no two days are quite the same – you’ll be at the heart of operations, helping to keep things running smoothly while supporting governance, administration and communications.

What You’ll Be Doing
Governance & Meetings
Help prepare agendas, reports and documentation for meetings
Attend meetings and produce clear, accurate minutes
Keep records, registers and governance documents up to date
Ensure information is published in line with required timescales
General Administration
Act as a key point of contact for enquiries from a range of stakeholders
Manage emails, correspondence and day-to-day office activity
Maintain filing systems and keep documentation organised
Coordinate diaries, meetings and bookings
Support events and community engagement activities
Finance Support
Process invoices and track expenditure
Maintain purchase order and finance records
Prepare payment schedules and supporting paperwork
Ensure financial records are accurate and well organised
Compliance & Information
Maintain document management systems in line with legal requirements
Support data protection and information requests (including GDPR/FOI)
Ensure records are stored, retained and disposed of appropriately
Communications
Update website and social media content
Support the preparation of public notices and communications
Ensure information is clear, accessible and up to date
Projects & Support
Assist with administrative support across projects and initiatives
Help coordinate suppliers, quotes and basic procurement activity
Support progress tracking and reporting
Office Coordination
Keep office supplies stocked and equipment in working order
Help maintain a tidy, functional working environment
Support basic health and safety processes
What We’re Looking For
Essential
Strong organisational and administrative skills
Confident communicator, both written and verbal
Able to manage your own workload and prioritise effectively
Comfortable using Microsoft Office and digital systems
Professional, discreet and able to handle confidential information
Desirable
Experience in a public sector or governance environment
Familiarity with formal meetings and minute-taking
Understanding of basic financial administration
Additional Information
Some evening meetings and occasional weekend commitments are required (time off in lieu provided)
