Overview

We are seeking an organised and detail-oriented Project Controls Coordinator to support the successful delivery of projects through effective financial control, reporting, administration, and governance.

Working closely with Project Managers, engineers, subcontractors, and internal stakeholders, you will help ensure projects are accurately monitored, commercially managed, profitable, and compliant with company procedures.

Key Responsibilities

Financial Control

  • Maintain project cost forecasts and track actual spend against budgets.
  • Support turnover forecasting and customer invoicing activities.
  • Monitor outstanding invoices and escalate payment issues where required.
  • Assist with tracking project financial performance and commercial reporting.

Project Controls & Administration

  • Review lessons learned logs and prepare summary reports.
  • Monitor projects over £20,000 and identify performance or profitability concerns.
  • Manage variation orders, ensuring deadlines and customer requirements are met.
  • Coordinate the monthly engineer timesheet process.
  • Maintain project records, correspondence logs, and filing systems.
  • Prepare project reports, management information, presentations, and board papers.
  • Attend internal and subcontractor meetings to gather project data.
  • Support the implementation and maintenance of project control processes.
  • Ensure projects comply with company governance, reporting requirements, and procedures.
  • Undertake additional duties as required.

Skills & Experience

Essential

  • Experience in project coordination, project controls, project administration, or commercial support.
  • Strong numerical and analytical skills, including experience working with financial data and forecasts.
  • Excellent organisational and time management abilities.
  • High attention to detail and commitment to accuracy.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent communication and stakeholder management skills.
  • Ability to work independently while contributing to a wider team.

Desirable

  • Experience within engineering, construction, technical services, or other project-based environments.
  • Understanding of project lifecycles, governance, and reporting processes.
  • Experience with project variations, cost control, or invoicing.
  • Knowledge of project management methodologies and reporting frameworks.
