We are seeking an experienced Payroll and Pensions Administrator to join a well-established organisation in Swindon. This role involves managing payroll and pension processes with precision and ensuring compliance with relevant regulations. The ideal candidate will be detail-oriented, proficient in payroll systems, and capable of handling multiple tasks efficiently.
Duration: 6 months with the possibility of going permanent
22.5 hours a week over 3 or 4 or 5 days flexible working hours.
Day-to-day of the role:
Accurately process monthly timesheets, mileage, and expense claims.
Handle the full cycle of monthly payroll operations including updating employee data, importing variable pay data, and validating payroll totals with the payroll bureau.
Calculate and process final salary payments and adjustments for leavers, as well as part-month payments for new starters or employees changing roles mid-month.
Develop and maintain detailed payroll and pension procedures.
Perform monthly salary and payroll component reconciliations for payroll authorisation.
Manage payroll-related queries from staff regarding pay and deductions.
Process annual salary reviews, providing salary modelling and costings to HR leadership.
Maintain accurate records for sickness, maternity, and paternity entitlements and payments.
Manage attachment of earnings and maintain payment records for staff in the Prospect Lottery.
Administer NHS and Royal London pension schemes, including auto-enrolment and year-end returns.
Act as the first point of contact for pay and pension issues with third-party organisations.
Systems & Reporting:
Manage and update pay data in the HR system (CIPHR), ensuring accuracy in data entry and upkeep.
Oversee the HR system and HR Self-Service (CIPHR), enhancing processes and developing new procedures.
Provide management information and reports to support senior management and Board decision-making.
Administration:
Serve as the first point of contact for general pay queries and manage the HR Inbox.
Assist in the development and maintenance of HR systems and processes, aiming for automation and compliance with GDPR.
Provide administrative support to the HR team and assist with HR-related documentation and recruitment processes.
Required Skills & Qualifications:
Proven experience in payroll administration, preferably within a similar role.
Strong knowledge of payroll and pension regulations.
Proficient in using HR and payroll systems, ideally CIPHR.
Excellent attention to detail and the ability to manage multiple tasks.
Strong communication and interpersonal skills.
