Covering a multitude of administrative duties from various aspects of the business, this role is interesting, varied and important. The position can grow and as a minimum will cover general office duties, shipping co-ordination, and service team support.


This position will suit an individual with a dynamic and enthusiastic personality, who is able to multi-task and prioritise their workload in order to meet time commitments. Excellent interpersonal skills are required to ensure effective transfer of knowledge and understanding as well as being technically competent and a proficient user of Microsoft products such as Outlook, Word, Excel and PowerPoint is also necessary.

Roles and responsibilities

General office duties
- Answer incoming calls to the business and email enquiries
- Implementing and maintaining procedures /office administrative systems
- Booking transport and accommodation for customers
- Order and maintain supplies of stationery and equipment
- Arrange for maintenance of the office / factory as required
- Administering and arranging all aspects of company mobile phone requirements
- Administering all aspects of external cleaning contract

Shipping
- Primary point of contact for all shipping matters, both within the business and externally
- Prepare and submit export license application
- Generating packing lists for shipments
- Provide, via customers, EUU signed documents
- Liaise with shipping agent(s) to obtain quotation for shipments
- Prepare shipping documents prior to the shipment
- Liaise with internal team and also the shipping agent to arrange the shipping & collection
- File & log all the delivery notes/landing and any IPR documents
- Implementing and maintaining export/shipping procedures


Service Support
- Administer customer service support enquiries, ensuring excellent customer service is delivered
- Administer aspects of service job requirements, for example:
- Preparing and sending order acknowledgements
- Raising and releasing work order details
- Preparing and sending invoices
- Liaising between customer and internal teams as required

Monday to Friday role. 35 hour working week (with Friday afternoon off!)

£23,000 - £25,000 + 25 days holiday, Pension and Free parking

• A minimum of 2 years experience operating in an administrative capacity within a busy industry
• Excellent working knowledge of Microsoft packages, such as excel, word, outlook
