About the Role
An exciting opportunity has arisen for a highly organised and proactive Executive Assistant to join a leading organisation within the legal finance sector, based in the City of London.
Working as part of a small, close-knit team, you will play a key role in supporting the smooth running of the London office, providing high-level administrative and organisational support. This position is ideal for someone who thrives in a fast-paced, professional environment and enjoys working collaboratively.
Key Responsibilities
Manage complex diaries for three senior stakeholders, as well as providing support to additional team members
Coordinate domestic and international travel, including booking accommodation and managing itineraries (approximately 5–10 trips per quarter)
Liaise with clients to arrange meetings and virtual calls across multiple time zones
Welcome visitors and clients, ensuring meeting rooms are prepared and refreshments are arranged
Maintain and update the CRM system as required
Process and prepare monthly expense claims for multiple team members
Support the planning and delivery of marketing and client events (50+ attendees)
Create and format PowerPoint presentations and other business documents
Provide general administrative support and assist with ad hoc tasks as required
Skills & Experience
Strong working knowledge of Microsoft Outlook, particularly calendar management and Microsoft Teams
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)
Exceptional attention to detail with strong written and verbal communication skills
Proven ability to multitask and work effectively under pressure
Professional, polished, and confident in a client-facing environment
Reliable, proactive, and trustworthy with a positive attitude
Experience using Salesforce or similar CRM systems is advantageous
Previous experience within the legal or professional services sector is desirable but not essential
