We are seeking an Administrative Assistant to provide high-quality support to our Data Team and Exams Office. This role is crucial for maintaining the integrity and accuracy of student data and ensuring the smooth operation of internal and external examinations.
Day-to-day of the role:
Supporting the Data & Exams Manager by:
Assisting with the maintenance of students’ contextual and assessment data in the MIS (Bromcom).
Ensuring student timetables and class lists are maintained correctly.
Assisting with the processes associated with the collection of students' assessment data, including preparing teacher marksheets in the MIS for data entry and monitoring data input.
Preparing the MIS’ [Bromcom] assessment module for the publication of academic reports to parents and students.
Gathering and inputting student identifiers and other essential data for the statutory school census returns.
Preparing and maintaining students’ academic data in ALIS and ALPS.
Assisting with internal requests for data, e.g., preparing basedata for UCAS, survey analysis, etc.
Supporting data-led initiatives requiring input from the Data team as required.
Keeping abreast of MIS [Bromcom] updates that affect tasks associated with the role.
Undergoing MIS and other on-the-job training as necessary for data-related tasks.
Supporting the Exams Office by:
Assisting the Exams Coordinator with exam-related administration such as preparing name cards, seating plans, log sheets, signage, exam information display slides, photocopying question papers, setting up and supervising exam rooms.
Distributing clash resolution information, exam timetables, and qualification certificates.
Assisting with resourcing internal and public exams.
Assisting with invigilation as required.
Supporting new invigilators and clash student supervisors during exam periods.
Handling tasks deemed appropriate by the Data & Exams Manager, during the Exams Coordinator’s busy periods or absence.
Supporting the preparation for the release of public exam results statements to students.
Supporting the exams coordinator on the day public results are released to students.
Undergoing training as is necessary for exam-related tasks.
Required Skills & Qualifications:
Proven experience in administrative roles, preferably within an educational setting.
Familiarity with MIS systems, particularly Bromcom.
Strong organisational and time management skills.
Ability to handle multiple tasks simultaneously and meet deadlines.
Excellent attention to detail.
Strong communication and interpersonal skills.
Additional Information:
The postholder should be available to work additional hours as necessary during internal and external exam periods, according to arrangements authorised in advance by the line manager.
During the summer post-results period, the postholder will be required to work on the consecutive days when GCE results are released to centres and to students. Such additional hours are to be agreed in advance with the line manager.
