We are looking for a highly organised and proactive Business Coordinator to support the smooth day-to-day running of our operations. This is a key role focused on maintaining high standards across quality, compliance, customer service, and internal processes.
You will play a central part in managing invoicing, customer and supplier issues, audits, and health and safety administration, ensuring everything runs efficiently and in line with company standards.
Key Responsibilities
Customer Invoicing
Manage the full customer invoicing process from initiation through to completion
Obtain director approvals and issue monthly customer statements
Ensure accurate and timely billing processes are maintained
Quality Management
Log and manage customer complaints and supplier non-conformances via the iBOS system
Keep stakeholders updated throughout investigations and resolutions
Liaise with accounts and suppliers to ensure timely processing of returns, credits, and exchanges
Recommend improvements and communicate process changes across teams
Audits & Compliance
Coordinate supplier and customer audits, including all documentation and follow-ups
Maintain accurate, up-to-date records
Work with the Director and external coder to support system improvements
ISO Audits
Carry out monthly internal audits
Support preparation for annual audits
Ensure actions are completed and documentation is current across systems and on-site records
Health & Safety
Manage the relationship with external H&S consultants
Maintain all H&S documentation and ensure compliance
Oversee risk assessments, fire safety reviews, and accident reporting
Conduct spot checks to ensure adherence to policies and procedures
Customer Account Setup
Manage new customer onboarding processes
Conduct credit checks and issue terms and conditions
Ensure all account data is accurately maintained
About You
Proven experience in business operations, quality, or compliance roles
Strong understanding of invoicing processes and quality management systems
Excellent organisational and communication skills
Ability to manage multiple priorities and liaise with a range of stakeholders
Good knowledge of health and safety requirements
