Legal Administrative Assistant

Salary £26,500- £28,500 - Monday to Friday - Full time and permanent
About the Role
We are looking for a highly organised and proactive Legal Administrative Assistant to join the clients Wills, Estates and Succession planning team based in their Glasgow office. This is a key support role providing high-quality secretarial and administrative assistance to fee earners across all three offices, helping to ensure the smooth and efficient running of the team.

Key Responsibilities
Secretarial & Administrative Support
- Provide comprehensive secretarial and administrative support to the Wills, Estates and Succession planning team
- Assist with the smooth day-to-day running of the team
- Handle calls and liaise with clients professionally
- Organise and coordinate team meetings and CPD sessions
- Maintain department diaries and holiday records
- Support a paperlite environment and document management processes
Legal Administration
- Assist with maintaining and updating POA lists for audit requirements
- Support file reviews and ensure matters are progressed efficiently
- Communicate with clients on a daily basis as directed
Billing & Reporting
- Assist with monthly billing processes, ensuring accuracy and timeliness
- Help review outstanding balances, credit positions, and timesheets
- Prepare reports and spreadsheets on billing activity and workloads
Training & Team Support
- Support induction of new staff, including training on systems and processes
- Help coordinate ongoing system and process training
Project Work
- Contribute to improving systems and administrative processes
- Support initiatives to enhance efficiency across the Unit
About You
Essential Skills & Experience
- Excellent organisational and time management skills
- Strong attention to detail with accurate administration skills
- Confident communicator with strong interpersonal skills
- Customer-focused approach
- Numerate with the ability to interpret data
- Proficient in Microsoft Office, including Excel
Desirable
- Knowledge of legal terminology
- Experience with e-billing systems
- Familiarity with case management systems
