Legal Administrative Assistant

📍 Location: Glasgow 

Salary £26,500- £28,500 - Monday to Friday - Full time and permanent 

About the Role

We are looking for a highly organised and proactive Legal Administrative Assistant to join the clients Wills, Estates and Succession planning team based in their Glasgow office. This is a key support role providing high-quality secretarial and administrative assistance to fee earners across all three offices, helping to ensure the smooth and efficient running of the team.

This is an excellent opportunity for someone who thrives in a fast-paced legal environment and enjoys working collaboratively while delivering exceptional client service.

Key Responsibilities

Secretarial & Administrative Support

  • Provide comprehensive secretarial and administrative support to the Wills, Estates and Succession planning team
  • Assist with the smooth day-to-day running of the team
  • Handle calls and liaise with clients professionally
  • Organise and coordinate team meetings and CPD sessions
  • Maintain department diaries and holiday records
  • Support a paperlite environment and document management processes

Legal Administration

  • Assist with maintaining and updating POA lists for audit requirements
  • Support file reviews and ensure matters are progressed efficiently
  • Communicate with clients on a daily basis as directed

Billing & Reporting

  • Assist with monthly billing processes, ensuring accuracy and timeliness
  • Help review outstanding balances, credit positions, and timesheets
  • Prepare reports and spreadsheets on billing activity and workloads

Training & Team Support

  • Support induction of new staff, including training on systems and processes
  • Help coordinate ongoing system and process training

Project Work

  • Contribute to improving systems and administrative processes
  • Support initiatives to enhance efficiency across the Unit

About You

Essential Skills & Experience

  • Excellent organisational and time management skills
  • Strong attention to detail with accurate administration skills
  • Confident communicator with strong interpersonal skills
  • Customer-focused approach
  • Numerate with the ability to interpret data
  • Proficient in Microsoft Office, including Excel

Desirable

  • Knowledge of legal terminology
  • Experience with e-billing systems
  • Familiarity with case management systems
